Information we collect
Contact and communication information. When you contact us, subscribe to emails, request a resource, or register for a service, we collect the information you provide, such as your name, email address, telephone number, and message.
Purchase and account information. When you make a purchase or create a customer account, we receive information such as your contact and billing details, products or services ordered, transaction references, payment status, and account information. Payments for direct purchases are processed through Stripe. Stripe handles payment and billing information to process the transaction and support payment security and fraud prevention. Do not send payment-card details by email or through an ordinary contact form.
Student information supplied by adults. A parent or guardian completes the student's intake information. This may include the student's name, age or grade, learning goals, educational history, accommodations, and other information relevant to tutoring. Information you choose to provide may include an IEP, disability-related information, or a diagnosis. Please share only what is relevant to the requested service and omit unrelated sensitive information about the student or other people.
Information from tutoring and AI processing. Online sessions can involve a student's display name, image, voice, chat messages, shared work, and participation. We do not create audio or video recordings of tutoring sessions for later playback. We use Zoom's AI features to process session speech into a written transcript and generate a summary, which is provided to the parent or guardian after each session. This processing can include learning information and any personal details spoken during the session. The purpose is to document the lesson and communicate learning progress and next steps to the parent.
We delete transcripts and AI-generated summaries under our control 30 days after the session. A parent may keep their own copy of a summary; our deletion does not delete that copy. AI-generated text can contain mistakes. Please contact us if a transcript or summary needs correction. These summaries are educational communications, not diagnostic or clinical assessments.
Zoom processes session content to provide transcription and summaries and may use third-party AI model providers to deliver these features. Zoom's processing is described in its privacy information and AI data-handling documentation:

Technical information. Our website and connected tools can collect information such as an IP address, device and browser details, pages visited, referring pages, timestamps, and interactions with the website. Cookies and similar technologies are discussed below.
2. How we use information
We use information to:
• Respond to questions and deliver requested resources.
• Process orders, payments, refunds, and account requests.
• Schedule and deliver tutoring, tailor instruction, and communicate with parents or guardians.
• Send receipts, reminders, service updates, and other transactional messages.
• Send newsletters and promotional emails when you subscribe or when otherwise permitted by applicable law.
• Understand website and email performance, subject to applicable privacy choices.
• Maintain security, prevent misuse, resolve disputes, and meet legal obligations.
We do not treat acceptance of our Terms as consent to every optional use of personal information. Where the law requires separate consent, we obtain it before the relevant collection, use, or disclosure.
3. Service providers and other disclosures
We use the following providers to operate the website and deliver our services:
• Squarespace: website hosting and commerce, including information submitted through website forms and checkout and technical information needed to operate the site.
• MailerLite: email-list management, campaign delivery, and the subscriber information used for those communications.
• Zoom, including Zoom AI: online tutoring, session speech processing, written transcripts, and AI-generated summaries provided to parents.
• Google Drive: storage of parent-completed intake information and related documents submitted with that intake.
• Stripe: processing payments, billing and transaction information, and related fraud-prevention and payment-security functions.
Google Drive and Zoom process the information needed for their respective services even though viewing access to intake records within our business is restricted to Miss Kate. A parent's session summary is shared with that parent or guardian.
Stripe's privacy information is available at https://stripe.com/privacy. Google Drive's privacy information is available through Google's Privacy Policy at https://policies.google.com/privacy. Zoom's privacy and AI data-handling information is linked above.
Providers receive information needed for the functions they perform, subject to their applicable agreements and privacy terms. Some providers also process certain information for their own purposes, as described in their policies.
We may disclose information when required by law or when reasonably necessary to protect legal rights, respond to lawful requests, or address fraud or security incidents. If business ownership changes, information may be transferred as permitted by law, with required notices and protections.
Public use of identifiable student work, photographs, recordings, or testimonials requires appropriate separate permission. Purchasing a service does not by itself authorize that use.
Advertising-related disclosures, if any, are addressed in the next section. Whether a disclosure is legally classified as a “sale,” “sharing,” or targeted advertising depends on the practice and applicable law, not only on whether money is exchanged.
4. Cookies and advertising technology
Cookies and similar tools support functions such as website operation, account sessions, shopping carts, preferences, analytics, and advertising measurement.
You can manage cookies through your browser settings. Blocking cookies may affect some website functions. When our Squarespace cookie banner is enabled and displayed, use its available controls to accept, decline, or manage non-essential cookies. Where a Manage cookies control remains visible on the site, you can use it to revisit your choices.
Squarespace's cookie controls apply to the cookies and integrations they support. Additional third-party controls may apply to separately embedded tools or tracking code.
5. Email communications
When you subscribe, we use your email address and any signup details to send the resources or communications described on the signup form. You may unsubscribe from promotional emails using the unsubscribe link in those emails or by contacting us. We may still send messages needed to complete a purchase or provide an active service.
MailerLite manages our subscriber list and email delivery.
6. Children and parent involvement
Our purchasing, newsletter, contact, and registration forms are intended to be completed by adults. A parent or guardian must arrange services for a minor and complete the student's intake information. Parent-supplied intake records are stored in Google Drive. Within our business, access to view those records is limited to Kate Moore, known as Miss Kate. Hosting and other service providers may process information as needed to operate the services described in this policy.
Tutoring involves children, including the AI transcription and summaries described above. Where applicable law requires direct parental notice and verifiable parental consent, we provide the notice and obtain that consent before the relevant processing begins. The notice explains the information processed, the providers involved, its use and disclosure, the retention period, and how parents can exercise their rights. Acceptance of general website Terms does not replace any separately required consent.
Parents and guardians can contact hello@earlylearningwithmisskate.com to request review, correction, or deletion of their child's information or to withdraw consent to further collection or use. We take reasonable steps to verify the requester's authority. If information is reasonably necessary for a particular service, withdrawing permission for its collection may prevent us from continuing that service.
If you believe a child has submitted information through an adult-facing form without appropriate authorization, please contact us so we can review and address it.
7. Sensitive educational and health information
Information about learning needs, disability, or health is used to understand and provide the educational support requested. Please contact us before sending detailed educational or medical records so we can explain the appropriate submission method and what is needed.
Parent-completed intake information is stored in Google Drive, with viewing access within the business limited to Miss Kate. Intake records are deleted 30 days after tutoring ends. If sensitive information is discussed during a tutoring session, it may also appear in the Zoom AI transcript or parent summary and be processed by Zoom and the providers it uses for that service.
The educational nature of our services does not remove privacy duties that otherwise apply to this information.
8. Retention and security
Session transcripts and AI-generated summaries are kept for 30 days after each session to support the parent update and short-term review or correction of that session's information. We then delete the copies under our control. This deadline is separate from the intake-record schedule below. Copies retained independently by a parent are outside our control.
Parent-completed intake records in Google Drive are kept during the tutoring relationship to plan and provide instruction. We delete those records under our control 30 days after the tutoring relationship ends.
We use reasonable administrative and technical measures appropriate to the information we handle. No method of transmission or storage can be guaranteed completely secure.
9. Your choices and privacy requests
You may contact hello@earlylearningwithmisskate.com to request access to, correction of, or deletion of personal information, to withdraw consent where applicable, or to ask about our information practices.
Depending on where you live and the laws that apply, you may have additional rights, including portability, objection or restriction, and choices concerning certain disclosures or advertising uses. We respond as required by applicable law, including any applicable appeal or complaint rights. We may need to verify your identity or authority and explain a lawful reason why a request cannot be fully completed. We do not penalize you for exercising rights protected by law.
10. Third-party websites and international processing
Our website links to other services, including teaching platforms and resource marketplaces. When you independently register or purchase on another platform, its terms and privacy practices apply to its own processing. Our handling of information we receive from that platform remains subject to our applicable commitments and legal obligations.
Our business is based in the United States. Providers may process information in the United States or other countries. Where applicable law requires safeguards for international transfers, those safeguards must be in place; use of this website alone is not blanket consent to an otherwise restricted transfer.
11. Changes and contact
We may update this policy as our services or practices change. We will update the effective date, provide additional notice when required, and obtain new consent when the law requires it before making a relevant change.
For privacy questions or requests, email hello@earlylearningwithmisskate.com, or call (617) 982-3304.
